Position Summary

Under general direction, execute all administrative and support functions for CEO.  Provide overall guidance to other administrative support.  Interface with internal contacts at all levels of the organization as well as a diverse group of important external callers, clients and vendors.  Exercise independent judgment and initiative on assignments that are sensitive in nature.  May perform special assignments such as compiling reports, researching information and summarizing publications.  Prepare correspondence, memoranda, reports, both routine and some non-routine.  Screen telephone calls and visitors, and resolve routine and complex inquiries.  Schedule and maintain calendar of appointments, meetings and travel itineraries, and coordinate related arrangements.  Interact regularly with the Board of Directors, the Operating Committee, and/or their administrative staff.

Essential Duties and Responsibilities

  • Provide administrative support to assigned Executive(s) to include, but not limited to, managing calendar; collaborating with others both internally and externally in initiating meetings and scheduling business travel; meeting preparation, and expense report processing
  • Provide additional administrative support to the business as required, such as preparing materials, meeting recap notes, correspondence, faxes, emails, organizing and maintaining filing system, distributing mail, etc.
  • Maintain up-to-date detailed contact list, organizational charts, distribution lists, and other documents as required
  • Liaison for all company Admins
  • Code department invoices, creating check requisitions, verifying expense reports are completed correctly and obtaining appropriate approval for processing
  • Coordinate and complete specific events and catering requests as needed, including off-site events
  • Order and maintain office supplies

Education, Experience, Certification Requirements

  • BS/BA degree or its equivalent.
  • 10 years of executive administrative support experience with demonstrated achievements and progressive responsibilities.

Knowledge, Skills and Abilities

  • Broad and comprehensive experience, skill and knowledge of organization policies and practices. Excellent verbal and written communication skills.
  • Demonstrate ability to effectively coordinate multiple tasks and able to react to spontaneous changes in priorities.
  • Strong attention to detail, while under pressure with frequent interruptions.
  • Highly proficient with MS Office applications and Google Office tools.
  • Maintain strict confidentiality and conducts business in a mature and professional manner (in person, on the phone and within all correspondence).
  • Ability to travel as CEO/COO dictates (i.e., events, conferences).

Hours
